This Privacy Policy applies to information collected through our website at hharpp.com, through our contact form, and in connection with our professional services engagements.

2. Information we collect

We collect information in two ways: information you provide to us directly, and information collected automatically when you use our website.

Information you provide directly

  • Contact form submissions: your name, email address, phone number, business name, and the message or service inquiry you submit
  • Email correspondence: any information you share when contacting us by email
  • Phone consultations: notes we take during or after a consultation call
  • Client engagement: if you become a client, financial records, payroll data, business information, and other materials you share with us in the course of our services - governed separately by our client engagement agreement and applicable professional standards

Information collected automatically

  • Log data: your IP address, browser type, pages visited, time and date of visit, and referring URL
  • Analytics: aggregated usage data collected through Google Analytics or similar tools (see Cookies section)
  • Device information: general information about the device used to access our website

We do not collect sensitive personal information such as Social Security Numbers, financial account numbers, or tax identification numbers through our website contact form. If you become a client, such information is collected only through secure, encrypted channels and is governed by our professional engagement agreement.

3. How we use your information

We use the information we collect for the following purposes:

  • Service providers: We use a small number of third-party tools to operate our website and deliver services - including email, scheduling software, and accounting software. These providers are contractually required to protect your information and may not use it for their own purposes.
  • Professional collaborators: In some engagements, we may work alongside your CPA, attorney, or other advisors at your direction. We share only what is necessary and only with your knowledge.
  • Legal requirements: We may disclose information if required to do so by law, court order, or government authority, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business transfer: In the unlikely event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

5. Data security

We take the security of your information seriously. As a professional bookkeeping firm, we apply the same care to your personal data that we apply to client financial records.

  • Our website uses HTTPS with TLS encryption for all data transmission
  • Contact form submissions are transmitted securely and stored in access-controlled systems
  • Client financial data is handled through cloud-based platforms (QuickBooks Online, AccountingSuite) that maintain SOC 2 certification and bank-level encryption
  • We use strong password practices, two-factor authentication, and role-based access controls on all systems containing client data
  • We do not store sensitive financial information in email

No method of internet transmission or electronic storage is 100% secure. While we use commercially reasonable measures to protect your information, we cannot guarantee absolute security. If you have reason to believe your information has been compromised, please contact us immediately.

6. Data retention

We retain information for as long as necessary to fulfill the purposes for which it was collected, comply with legal and professional obligations, and resolve disputes.

  • Website inquiries and contact form submissions: Retained for up to 2 years unless a client relationship develops, in which case the inquiry becomes part of the client record
  • Client financial and payroll records: Retained for a minimum of 4 years following the end of the engagement, consistent with Nevada's 4-year record retention requirement and IRS guidance (7 years for payroll tax records)
  • Website analytics data: Retained per the terms of our analytics provider (Google Analytics default: 26 months)

When information is no longer needed, we delete or anonymize it using secure methods appropriate to the sensitivity of the data.

7. Your rights

Depending on your location and applicable law, you may have the following rights regarding your personal information:

  • Access: You may request a copy of the personal information we hold about you
  • Correction: You may request that we correct inaccurate or incomplete information
  • Deletion: You may request that we delete your personal information, subject to our legal and professional retention obligations

Nevada law gives consumers the right to opt out of the sale of their covered information. Hharpp does not sell personal information as defined under Nevada law. We have not sold personal information in the past 12 months. You do not need to take any action to opt out of a sale that does not occur.

12. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other business reasons. When we make changes, we will update the "Last updated" date at the top of this page.
